What we collect

When you enquire

Your name and email address, and anything else you choose to give us: phone number, organisation, event date, venue or location, type of event, guest numbers, budget range, the documents you need and your message. We also record which page you enquired from, the website that referred you (the site name only) and any campaign tags in the link you followed.

When you book

The details needed to deliver and invoice your booking: names, billing address, event details, on-site contact, payments made and the booking agreement. When you sign an agreement online we record the name you typed, the date and time, your IP address, your browser details and a fingerprint of the agreement text, so there is a reliable record of what was agreed.

When you apply to perform with us

Your stage name and legal name, email address, phone number and the town you are based in; your act, experience, biography, credentials, website and video links; the styles, events and fee range you are interested in; whether you hold public liability insurance and a DBS check; anything else you tell us; and up to five performance photos. We remove location and camera details from photos when you send them.

When you browse

This website does not use cookies to track visitors. We use Cloudflare Web Analytics, which counts visits without cookies and without identifying you. See our cookie statement.

Why we use it

  • To reply to your enquiry and prepare a quote. Lawful basis: our legitimate interest in responding to people who contact us, and taking steps at your request before entering into a contract.
  • To deliver your booking, brief performers and take payment. Lawful basis: performing our contract with you.
  • To keep accounts and tax records. Lawful basis: legal obligation.
  • To keep a record of signed agreements. Lawful basis: our legitimate interest in being able to show what was agreed.
  • To consider your application to perform with us and, if we accept it, to offer you work and prepare your profile. Lawful basis: taking steps at your request before entering into a contract, and our legitimate interest in choosing the performers we represent. We publish a profile only with your permission, which you can withdraw at any time.

We do not use your information for marketing unless you have separately agreed to it, and we never sell it.

Who we share it with

  • The performers booked for your event receive the event details, timings and on-site contact they need, and nothing more.
  • If you are a performer and we publish your profile, visitors to this website see your stage name, biography, photos and videos. Your legal name, contact details, fee range and insurance details are never published.
  • Our website hosting and email providers, who store and deliver information for us under contract.
  • Our accountant and HM Revenue and Customs, for accounts and tax.
  • Anyone we are legally required to share it with.

Where it is stored

Our website host stores information in the United Kingdom or the European Economic Area. Some of our other providers, including Google (our email) and Cloudflare (website statistics), may process information in other countries, including the United States. Where they do, it is protected by safeguards recognised under UK data protection law, such as the UK International Data Transfer Addendum or the UK-US data bridge.

How long we keep it

  • Enquiries that do not become a booking are deleted automatically 24 months after they are received.
  • Bookings, agreements and the records that go with them are kept for six years after the event, to meet tax rules and the time limit for contract claims, and then reviewed for deletion.
  • Applications to perform with us that we do not take forward are deleted, with their photos, 180 days after we decide.
  • If you withdraw your application or profile, using the private link in our emails, any profile is taken off this website straight away. Your application, photos, profile and performer record are then deleted, normally within seven days, and never later than six months after you withdraw if we need them briefly, for example to settle a booking. We email you when it is done. If you have been booked for an event through us, your name and contact details stay with that booking’s records for the period above.

Your rights

You can ask us for a copy of your information, ask us to correct it, delete it or restrict how we use it, object to how we use it, or ask for it in a portable format. Some rights have limits, for example where we must keep records by law. We will reply within one month.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
